User Guide
Turn invoices, receipts, contracts, CVs and other business documents into clean, reviewable, export-ready data, with the source evidence shown behind the values read from a page.
This guide covers using DocSolved in the browser. Calling DocSolved from code? See the API documentation.
What DocSolved does
You upload a document, process it through the API, or have an automation tool send an email attachment to the API. DocSolved reads it, figures out what kind of document it is, and pulls out the fields that matter: invoice number, totals, line items, names, dates, and so on. Every value is:
- Checked: for typed documents such as invoices, required fields, totals and dates are validated, and anything doubtful is flagged for you. Where a field carries a confidence score (for example, a value read by the fallback parser), it is shown under Show evidence details.
- Traceable: on scans and photos, the text it was read from is highlighted on the page; structured e-invoice values come straight from the XML
- Editable: fix or add anything before you save or export
- Exportable to JSON, CSV, Excel, or PDF, and shareable with a secure link
DocSolved also checks what it read. When something does not add up, is missing, or could be read two ways, the document is marked Needs review and shows you exactly what to decide. Where the feature is switched on, it also suggests what a document asks you to do, such as paying an invoice by its due date.
Supported uploads: PDF, XML e-invoices (where enabled), PNG, JPG/JPEG, HEIC/HEIF, AVIF, TIFF, BMP, WEBP. Each file can be up to 15 MB. Multi-page PDFs are supported; the AI reads up to the first 5 pages of each document for field extraction. For a longer PDF you choose which pages to analyze, or split it into several documents.
Getting started
Analyzing documents needs a free account: choose Sign in or Create account. Every new account starts with a one-time allowance of free pages. Without an account you can open the sample results on the demo pages to see how extraction and review work.
Once you are signed in, the side navigation and the top of each page take you to the main areas:
| Area | What it is for |
|---|---|
| Home | What needs your attention: documents to review, action items and upcoming dates. See Home. |
| Add documents (button at the top of the page) | Upload and analyze documents, use the camera, or turn photos into a PDF. See Uploading documents. |
| Documents | Every saved document, with status tabs, search, filters, folders and tags. See Finding and organizing documents. |
| Dossiers | Groups of documents that belong together, such as an order with its deliveries and invoices. See Related documents & dossiers. |
| Templates | Your own document types with exactly the fields you need. See Build your own type. |
| Workspaces | Shared spaces for a team. See Workspaces, roles & approval. |
| What's New | Product updates that apply to your account. See What's New & changelog. |
| Help | This guide, Contact support (where available) and Your requests, where you can follow up on what you have sent to support. |
The Pages remaining meter in the navigation shows how much of your allowance is left. Your account menu holds Account settings, Billing, Analytics dashboard, Vendors & customers, API keys, and the Language and Appearance (System, Light or Dark) settings.
On a phone, a tab bar at the bottom of the screen gives you Home, Documents, Add and Search. On a narrow screen, review shows one question at a time.
How a document is processed
-
1
Receive or upload
Drag a file in, or use the API (for example from an email automation).
-
2
Read (OCR)
The page is read into text and the position of each word (from the PDF's own text layer when it has one, otherwise by OCR), so values can be mapped back to the page. Structured e-invoices skip this step: their values are read from the XML.
-
3
Classify
DocSolved detects the document type, with a confidence score, and the region. You can set the type and region before you analyze, and change the type afterwards if you know better.
-
4
Extract and check
The AI fills in the fields for that type, and DocSolved checks them: required fields, totals, dates and values that could be read two ways.
-
5
Review, approve & export
Answer what DocSolved could not settle, complete the review, get approval where your workspace requires it, then export or share.
In Automatic mode, if the AI is unavailable, DocSolved falls back to pattern-matching so you still get a result. The document is marked Needs review with a note that the values come from a fallback parser, and Extraction shows Partial. A Custom extraction or Saved template run cannot fall back this way and is marked Failed.
Uploading documents
Open Add documents to reach the upload area. Drag one or more files onto it, choose Browse files, or choose Use camera on a phone or tablet. Nothing is analyzed until you press the analyze button, so you can check the settings first.
Choose how the document is extracted
- Automatic (finds the fields for you): DocSolved detects the type. You can set Document type, Region and an optional Name yourself before you analyze.
- Custom extraction (choose fields for this one document): describe what you need in your own words, optionally attach an example, press Generate fields, adjust the list, then Analyze with these fields. Values the document does not show stay empty. This option appears only when the current AI setup supports it.
- Saved template (same output for every document): pick one of your templates and press Analyze with this template.
Before you analyze, the card shows the estimated cost in pages and how many pages you have left. Files DocSolved cannot read, empty files and files over the size limit are rejected one by one with the reason; the other files in the same selection still go through. If a photo looks blurry or has glare, you get a warning and can retake it.
If a file is identical to one already in your documents, DocSolved asks first, before anything is charged: Open the saved document or Analyze again. When only some of several files were uploaded before, you can also choose Skip files already uploaded; if all of them were, you can cancel or analyze them again.
Want to try it first? Choose Try a sample document under the upload area to open a ready-made invoice, receipt, purchase order, delivery note or e-invoice result.
Long PDFs: choose what to analyze
Only the first 5 pages of a document are analyzed. When a PDF is longer than that, the card shows three choices:
- First 5 pages: pages 1 to 5 are analyzed as one document; the rest are not analyzed.
- Split PDFβ¦: cut the PDF into separate documents. Each document is still analyzed up to 5 pages; a longer one is read partially or skipped, as you choose. A split editor opens with page thumbnails where you add or remove split points (Split here, Remove split), or use Auto split (every page or every few pages, then Apply), then Confirm split.
- Choose pages: enter a page range of up to 5 pages to analyze as one document.
For a short PDF that looks like several documents, DocSolved offers Analyze as N documents or Analyze as one document, with Review split⦠to check the split points it found. Split points found in a scan without a text layer cannot be detected, so split those manually.
Only analyzed pages are charged. If your remaining pages do not cover the whole split, the card tells you which documents will be analyzed and which will not. The allowance never cuts a document short: one that does not fit is left out whole. (The 5-page limit is separate: it applies to each document.)
Processing many files at once
Select several files at once (up to 20). If they are pages of one document, such as several phone photos, choose Merge into one document (in selection order); otherwise choose Analyze separately. The type, region, template and name you set apply to every file.
Analysis runs in the background. Keep the page open until the upload finishes; after that you can keep working or close the page. Progress appears under In progress on the upload page, and as Processing in Documents. For several files, a progress panel shows each file as Ready, Needs review, Failed or Not uploaded, and offers Review the N that need you when it is done.
Not uploaded means the file never reached analysis (for example, it was rejected or the upload stopped). It is counted separately from Failed, and nothing is charged for it.
The Batch processing switch, where available, sends up to 20 files (15 MB each, 50 MB in total) for slower processing that can take up to 24 hours. It uses Automatic settings only: a chosen document type, region, name, template or custom fields are not applied. When the batch finishes, Export ZIP downloads all results at once.
Phone photos and Scan to PDF
Photos of paper documents are straightened and cropped automatically before they are read, when DocSolved can find the page edges. With Use camera, choose Add another page to photograph a multi-page document; the photos are merged into one document.
Only need a clean PDF? Choose Scan to PDF under the upload card. It straightens and crops your photos where it can find the page edges, applies the Enhancement you pick (for example grayscale or black and white), and combines them into one PDF to download with Export PDF. Scan to PDF extracts no data, saves nothing to your documents and uses no pages.
Structured e-invoices (XML)
DocSolved reads KSeF FA(2) and FA(3), UBL 2.1 (including Peppol BIS and XRechnung) and CII (ZUGFeRD, Factur-X and XRechnung) e-invoices. Upload the .xml file (where the e-invoice reader is enabled), or a Factur-X or ZUGFeRD PDF with the XML embedded. The values are read directly from the structured data, with no OCR or AI guesswork, and the result shows E-invoice: exact data. A standalone XML file has no page to preview, so there are no highlights on a page. If a PDF carries e-invoice data, it is read from that and any type or template you chose is not applied. An XML upload costs one page; XML files cannot be merged with other files or sent with the Batch processing switch.
Trust: confidence & evidence
Where a field has a confidence score, it is a triage signal, not a human verification. Structured e-invoices use a dedicated trust status instead, because values are read from XML rather than guessed. Reviewing or confirming a field is a separate step from extraction.
DocSolved shows where a value came from and flags what it could not confirm.
Evidence. Select a field and, where it can be located, the snippet it was read from is highlighted on the page. The annotated PDF shows the same boxes where they are available.
Source highlighting. Boxes on the preview are marked as Mapped value, Selected field, Field with an open issue, Approximate location or Line item row. Boxes are not colored by confidence. Where a field has a confidence score, you can see it by opening the menu and choosing Show evidence details.
Faint grey boxes on the preview mark all text DocSolved recognized, so you can see which text was read, not just the fields it matched.
The summary at the top of a result tells you how far to rely on it: Extraction is Complete, Partial (for example, only the first 5 of a longer PDF were read) or Failed, Automated checks shows Passed, the number of issues, Kept as printed (a difference you chose to accept) or Not applicable (document types that run no checks), Human verification shows whether a person still has to complete the review, and Missing information lists expected values that were not found. When only part of a PDF was analyzed, an Incomplete analysis banner says so, and a reviewer can choose Accept partial analysis.
Supported document types
DocSolved auto-detects the type, or you can pick one before analyzing. Typed documents have a defined set of fields. When the AI reads the document, every field of that type is returned, and a value it could not find stays empty (it is listed under Not found, and a missing key field is flagged). If the AI is unavailable and DocSolved falls back to pattern-matching, a field appears only when a value was found, so even a key field such as line items can be missing altogether; you can add it during review. Exports leave out empty fields. General documents don't have a fixed shape, so DocSolved returns whatever labeled fields it finds.
| Document type | Family | Best for |
|---|---|---|
| Invoice | Typed | Sales/purchase invoices, bills, VAT/GST invoices |
| Credit note | Typed | Corrections that reduce an invoice |
| Debit note | Typed | Corrections that increase an invoice |
| Proforma invoice | Typed | Pro forma and advance invoices (not fiscal invoices) |
| Purchase order | Typed | POs, order confirmations |
| Delivery note / packing slip | Typed | Goods-received notes, shipping dockets |
| Receipt | Typed | Till receipts, fuel & restaurant receipts |
| Utility bill | Typed | Electricity, gas, water, telecom bills |
| Remittance advice | Typed | Payment advices listing the invoices paid |
| CV / rΓ©sumΓ© | Typed | Candidate CVs and rΓ©sumΓ©s |
| Structured form | General | Application forms, questionnaires |
| Contract | General | Agreements, terms |
| ID document | General | ID cards, passports, licenses |
| Bank statement | General | Account statements |
| Other / unknown | General | Anything else |
Before analysis, the Document type list offers Auto-detect, Invoice, Purchase order, Delivery note, Receipt, Credit note, Debit note, Proforma invoice, Utility bill and Remittance advice. The other types are recognized automatically. After analysis you can change the type of a saved document with Change document type in the result menu; nothing is uploaded again and no new analysis starts.
Legend below: Key fields are checked first and flagged if they are missing. Also captured fields are filled in when they are on the document.
Invoice: field details
Full financial extraction with a line-item table and automatic totals checks.
Key fields: invoice number, issue date, seller name, buyer name, total amount, VAT/tax amount, line items
Also captured: due date, subtotal, currency, payment method, order reference (the buyer's PO number), seller & buyer tax numbers, seller & buyer addresses, per-line VAT rate

Work experience table: role, company, start date, end date, highlights
Education table: institution, degree, field of study, start, end
Other documents: forms, contracts, IDs, statements
For structured forms, contracts, ID documents, bank statements, and anything else, DocSolved returns the labeled fields it finds on the page as label β value pairs. There's no fixed schema, so coverage depends on the document, but evidence, confidence, editing, and export all work the same way.
Need a fixed shape for one of these? Create a custom type with exactly the fields you want.
Regional variants
The same document type can carry different details by country or region. Choose a Document type and then a Region (Auto, EU (VAT), US (sales tax) or India (GST)) before you analyze, and DocSolved adds the relevant fields. Region only applies when you choose a specific document type; with Auto-detect, or with the Batch processing switch, the Region list is unavailable. DocSolved still detects the region from tax IDs, currency and wording for its own checks, but that does not add extra fields.
| Base type | Region | Extra fields added |
|---|---|---|
| Invoice | EU (VAT) | Company registration number, reverse-charge/exemption note, IBAN, VAT breakdown by rate |
| Invoice | US (sales tax) | Ship-to address, remit-to address, sales tax, tax-exempt certificate |
| Invoice | India (GST) | Place of supply, IRN, GST breakdown (CGST/SGST/IGST/Cess), HSN/SAC per line |
| Purchase order | US | Ship-to address, Incoterms, vendor number |
| Delivery note | EU | Carrier, tracking/waybill number, package count, gross weight, ordered vs. delivered quantity per line |
The Region list offers EU, US and India. Choosing a region that has no variant for the selected type simply uses the base type; it's never an error.
Build your own type (custom templates)
Got a document DocSolved does not model out of the box (a lab report, an internal form, a specific contract)? Open Templates and create a custom type with exactly the fields you need, then choose Saved template when you analyze. You can also start from a result with Save as template in its menu. For a one-off field set without saving a template, use Custom extraction when you upload.
- Field types: text, number, amount, date, yes/no, organization, person, identifier, list, table (with your own columns)
- Review priority: mark each field Critical, Recommended or Optional so the completeness check knows what matters (missing Critical and Recommended fields are flagged)
- To begin from a built-in type, choose Start from document type: its fields are copied into the editor as a starting point, and you can change, remove or add to them. Editing a saved template creates a new version.
- Personal or workspace: a template is either yours alone (marked Personal) or belongs to a workspace. In a workspace any member can create one, and the creator (or a workspace admin) can edit it.
Languages
DocSolved's interface is available in English, German, French, Spanish, Polish, and Italian. Documents in many other languages are read as well, and field labels like Rechnung, Faktura and Facture are understood. Switch the interface language from the language menu; your choice is remembered.
Home
Home is the place to start each day. Its first part shows what needs you, and says Nothing needs your attention when nothing does.
- Needs your attention has two parts. Documents to review counts documents whose extracted data needs your verification; Review all N starts a review session through them, and View list opens them in Documents. Action items lists what your documents ask you to do that is due soon, overdue or still to be confirmed; Home shows the first few and View all N action items opens the full list.
- Coming up lists the nearest dates (up to five from the next 30 days), with Show more in the next 90 days for the rest.
- Recently added shows your newest six documents, yours and your workspaces', with Type and Workspace filters and View all documents.
- Shared recently appears while you have active share links.
- While documents are being processed, a progress line shows how many are done or failed, with View progress.
View all N action items opens the full list of action items. See Action items & dates.
Reviewing & correcting results
Open a document to see its values next to the page they came from. When the document needs review, the top of the result says how many issues are left and Review N issues takes you to the first one. Each issue explains what DocSolved found and offers the answers that fit, right inside the item:
| What DocSolved found | Your answers |
|---|---|
| A required value is missing | Add value, Pick from page (when the page text can be selected) or Not applicable when the field is listed (you must say why). An empty line-item table gets Add rows instead. |
| A date where the day and month could be read either way | One button per reading, or Other date |
| An amount whose decimal separator is unclear | Choose the Suggested reading when one is offered, or enter the amount yourself |
| A value to check, such as a due date earlier than the invoice date | Value is right or Correct value |
| Totals or line items that do not add up | Correct a value (or Correct value), or Keep as printed when the document itself is the cause (see Keep as printed) |
| A line-item table to check | Check table opens the line-item editor |
| Only part of a long PDF was analyzed | Accept partial analysis |
You can also work field by field:
- Edit any value inline while the review is open: click, type, done
- Confirm a field to mark it checked
- Add a missing field the AI didn't surface
- Line-item editor for documents with a line-item table (invoices, purchase orders, delivery notes, receipts and similar): add, remove, and edit rows in a table
- Click a field to jump to and highlight its source text on the page
- Restore extracted value puts back what was read from the document if you change your mind
- Your edits are what get saved, exported, and shared, not the raw AI output
Going through issues one by one
When a result has open issues, a prompt above the document shows Issue 1 of N with a short description of the problem.
- Next issue (or Show issue when only one is left) opens the issue and highlights the field on the page.
- Skip issue, on the open issue itself, moves on without changing the value. The issue stays open, so you can come back to it later.
- Hide folds the prompt into a small bubble that keeps the count. Select the bubble to open it again.
- In a review of several documents, Skip for now records a skip: the document still needs review and stays in the list.
Completing the review
When nothing is left to answer, finish with the main button. For your own documents, and in workspaces that do not require approval, it reads Accept extracted data; in a workspace that requires approval it reads Complete review, and after changes were requested it reads Resolve & complete review. Completing records your name and the time, confirms the values that qualify and locks the fields. You can Reopen review later if something needs to change.
Reviewing several documents in a row
To work through a set of documents one after another, start a review session from a control that names the set: Review all N on Home, Review the N documents that need review in Documents, or Review the N that need you after a multi-file upload. Opening a single row or link opens just that document.
- The session bar shows Document i of N, a list you can filter (for example by Skipped for now), and βΉ Previous.
- While a document still needs review, the forward button reads Skip for now: the document stays in Needs review and is listed as skipped. Once a document is done it reads Next document, and on the last one Finish review.
- The summary at the end groups the documents (still need review, reviewed by you, review already completed elsewhere and so on) and offers Review the N remaining.
- A session belongs to the browser tab it was started in. If you leave it, Documents shows Resume and End review.
Questions about whether a document is a copy or a newer version of another one are not counted as review.
Checks, suggestions & Keep as printed
DocSolved flags a document when what it read is incomplete, uncertain or inconsistent.
A reading mistake or a mistake on the document?
A failed check has one of three causes, and they are fixed differently:
- The value was read wrong (for example 1.190 instead of 1190). Correct the value, or accept a suggested reading. The page itself stays the reference.
- The document itself is inconsistent (for example, its own totals do not add up). DocSolved never rewrites a printed value to make the arithmetic work, so nothing is suggested. Choose Keep as printed: the values stay as printed, the check stops blocking the document, and the discrepancy stays visible on the document and in its history.
- The check does not apply to this document (for example, an invoice without VAT has no VAT amount to compare). Mark that value not applicable (for a missing VAT amount the buttons read Confirm not applicable or Confirm reverse charge): the check is then no longer counted as failed, and your decision is recorded in the document's history.
DocSolved never guesses a reading that is genuinely ambiguous. It converts a value on its own only when there is a single possible reading, and otherwise asks you, except for the automatic corrections described below, which need the page to print the corrected value.
Suggested readings and automatic corrections
For some amounts and dates, the printed value can be read more than one way: a decimal separator that could be a thousands separator, or a day and month that could be swapped. Where suggestions are switched on for that kind of value, DocSolved works in three steps:
- Check. The value is compared with the page and with the document's other figures.
- Suggest. If the page settles which reading is meant, that reading is marked Suggested. Fixed rules are tried first; for some values an AI reading may be proposed instead. Either way, a suggestion is shown only after it passes an Independent check: it is a reading of the printed value, the page confirms it, and it causes no new problem in the checks.
- Leave it to you. If nothing passes that check, nothing is suggested. Why nothing is suggested explains the reason, and you choose the reading yourself.
Open How this was checked to see what the page shows, what was read, and why the suggestion passed. Then:
- Select the Suggested reading to confirm it.
- Choose another reading, or type a value, to correct the field yourself.
- Dismiss suggestion to discard it and decide yourself.
- Undo on an accepted suggestion restores the previous value and reopens the issue. It is offered until the document is changed again or the review is completed.
A suggestion belongs to the version of the document it was made for. If the document changes first, the suggestion no longer applies and you choose the reading yourself.
Nothing suggested: if no reading passes the check, if the field is one that is never changed from a suggestion (such as supplier identity, tax numbers or bank details), or if the document changed in the meantime, the item stays with you and says why.
An automatic correction is recorded in the review history as made by DocSolved (automatic repair).
Where suggestions are not available, every item simply waits for your answer.
Keep as printed
DocSolved does not rewrite values to make totals add up. If the amounts printed on an invoice do not add up, it keeps the values shown in the original document and flags the inconsistency.
If the values are right and the difference is real, choose Keep as printed on the totals item. Pick why: The document itself does not add up (for example, a supplier's error) or The values are correct; this check does not fit the document (for example, discount or fee lines), and add an optional note. Nothing is recalculated; your decision is recorded on the document and in its review history, and the document can become Ready. You can undo it until the review is completed.
Finding and organizing documents
Documents lists everything you have saved and everything shared with you in your workspaces.
- Status tabs: All, Needs review, Ready and Failed.
- Filter by name, number or text narrows the list; the search box at the top of the app searches all your documents and their contents. If not every word is found, you see the closest matches.
- Filters: review state, approval state, attention (extraction issues, possible duplicates), type, workspace, folder, tag, versions, date added and amount. Save a combination you use often as a saved view, and sort by newest first or most uncertain first.
- Quick preview: on a wide screen (1200 pixels or more), selecting a row previews the document next to the list, with Open for the full view (and Review for a document that needs review).
- Row actions: Share, Export and, where it is the next step, Accept extracted data. The β― menu adds the review and approval steps, Find related documents (for invoices, purchase orders, delivery notes and packing slips), View duplicates, Rename, Pin, Move to workspace or Make private, and Delete.
- Select several rows to share, export, file into a folder, tag, add to a dossier, move to a workspace or delete them together. Folders and tags are only for your own filing; they never change who can see a document.
Duplicates and versions. When a document has the same type, vendor, number, total and date as one saved earlier, the later one is marked Possible duplicate, and View duplicates lists the copies. When a newer version replaces a document, the old one says Replaced by a newer version and is hidden from the list unless you include replaced versions.
Vendors & customers (account menu) lists the sellers and buyers confirmed from your documents. You can edit, merge and archive them. DocSolved also remembers the bank details it reads for each supplier and flags a new invoice whose account differs from one it has seen before; you can remove a remembered entry on the same page. The Analytics dashboard summarizes your saved documents in tiles and a report builder.
Workspaces, roles & approval
A workspace lets a team share documents, templates and dossiers. Move a document into a workspace (Move to workspaceβ¦) to share it with its members, or Make private to take it back. Billing stays personal: each member uses their own page and storage allowance.
| Role | What they can do |
|---|---|
| Workspace admin | Review and edit documents, approve them, and change Workspace settings |
| Workspace member | Review and edit documents; cannot approve |
Your own (private) documents have no approval step: you complete the review and that is it. A workspace admin can switch on Require approval for documents in this workspace in Workspace settings. Then a reviewer completes the review and chooses Submit for approval, and an admin chooses Approve document, Request changes (with a comment) or Reject (with a reason). Requested changes come back to the reviewer as Fix requested changes. The document's approval history records each step.
Approval is a separate state from extraction and review: an approved document is one a person has signed off. Integrations should start accounting writes from approval, not from extraction.
Action items & dates
Where action suggestions are switched on, DocSolved reads the text of your saved documents for what they ask of you, such as paying an amount, renewing, cancelling before a deadline, replying or signing, and for the important dates it mentions. Each suggestion is based on a quoted sentence from the document. On the document page, open What this document asks of you to see them; the important ones also appear on Home.
Suggestions are not tasks until you say so. On Home, a suggestion is marked Suggested by DocSolved. For each item you can:
- Confirm as to-do (in the β― menu) to make it one of your to-dos; Remove from to-dos takes it back
- Mark done (or Mark as paid for a payment), or Dismiss it; Undo puts a done or dismissed item back to suggested
- Show in document to see the sentence it came from
- Set date or Change date to enter the date yourself (offered when the document gives no exact date, or when the date may be out of date)
- Add to calendar to download a calendar file (.ics) with a reminder the day before
Items marked Optional are offered or recommended by the document rather than required.
How dates are worked out
A date counts as exact only when it is printed, or counted in days or weeks from a date printed on the document. Exact dates show how far away they are (for example in 3 days or 2 days overdue). When a deadline cannot be fixed to a calendar day, such as 14 working days from receipt, DocSolved shows the document's own words and explains why there is no exact date. If a printed date can be read two ways, you are asked Which date?, and the item is never treated as overdue until you choose.
If you correct a value that a date was counted from, such as the invoice date, the date is marked Date may be out of date - check it. Nothing changes until you choose the right date. A date you set yourself is shown as date you set and is never marked out of date; clear it to go back to the document's reading.
Add to calendar is available only for a confirmed to-do with an exact date that is not out of date.
Copies and replaced versions do not repeat action items: they are shown with the original or the latest version.
Related documents & dossiers
Find related documents
For an invoice, purchase order or delivery note, Find related documents (β― menu) searches your documents for its counterparts, for example by order reference or vendor. Each match shows why it was linked and a match label (High match, Medium match or Low match), and lists differences such as different totals, currencies or missing line items. When an invoice matches both a purchase order and a delivery note, a three-way match summary is shown. Matches are suggestions for you to check, not verified relationships.
Dossiers
A dossier groups an order with its deliveries, invoices and credit notes, so you can confirm how they relate and export them as one package.
- Open Dossiers and choose New dossier, or select documents in Documents and choose Add to dossier.
- Choose who can see it: Only me or a team. A team dossier can only hold documents shared with that team.
- Add documents. If you chose the Order, delivery, invoice, credit note checklist, it shows which of order, delivery and invoice are present; a credit note is optional.
- Choose Check relationships. DocSolved suggests links only from references printed on the documents, such as an order number. Each link is To confirm until you choose Confirm or Reject. Use Link two documents to add a link yourself.
- Follow the Next step and What to resolve notes until the dossier is complete, then Export package to download a ZIP with a manifest that lists anything still unresolved.
The Totals summary compares ordered, invoiced and credited amounts per currency; documents in different currencies are not added together. If a document changes or is replaced after you confirmed a link, the link shows Needs re-check. Confirming a link does not settle differences between the documents. The Graph tab shows the same links. The Timeline tab shows the dates printed on the documents and when things happened in DocSolved, such as uploads, reviews and link decisions.
Exporting
Choose Export on a result or on a row in Documents. The export dialog groups the formats; a format that does not apply to the document is either hidden or shown greyed out with the reason.
| Format | Contents |
|---|---|
| Structured data (JSON) | Structured result with confidence and evidence; fields with no value are left out |
| Fields (CSV) | One row per field |
| Line items (CSV) | The line-item table |
| Spreadsheet (XLSX) | Fields and tables in a spreadsheet, with the typed value next to the value as printed |
| Annotated PDF | The original with fields marked as analyzed. Later corrections are not drawn on it. |
| Result PDF | A report of the current values, including your corrections (saved documents only) |
| UBL e-invoice | An EN 16931-shaped XML e-invoice built from the fields, for invoices; anything missing is reported as a warning. It is not a compliance certificate. |
| Accounting: Xero, QuickBooks, DATEV, Generic accounting | CSV files shaped for import into accounting software, for financial document types. Proforma invoices cannot be exported for accounting. |
Exports you download include your corrections and accepted suggestions, not the original reading. The Annotated PDF is the exception: it is a record of the analysis and is never redrawn. A share link serves the snapshot made when it was created.
The one-sentence summary is written when the document is analyzed and is not rewritten when you correct or clear a value. After a correction, the screen and the JSON, spreadsheet and PDF exports say that the summary predates it; the fields are always current.
Two different ZIP downloads exist. After a batch upload, Export ZIP on the batch downloads every finished document as its own JSON file, the same as its single JSON export. Files with the same name are numbered, for example invoice.pdf (2).json. The included manifest.json lists every document; one that could not be exported is listed there with the error export_failed instead of being left out.
To export several saved documents, select them in Documents and choose Export, then a format. You get one ZIP with a file per document and an _export-manifest.json that lists each selected document as exported, unavailable or failed. If some could not be exported, a warning says how many, and the ZIP is named docai-export-partial-2-of-3.zip (for example) instead of an ordinary name. If none could be exported, nothing is downloaded and you are told why.
Dates and amounts in spreadsheets and accounting files use one standard format. Exporting does not depend on review or approval, so check the document's status before you rely on an export.
=, +, - or @ are escaped so they are treated as text, not formulas.
Sharing safely
Need to send a result to a colleague, client, or auditor? Choose Share on a saved document. The dialog has four steps:
- Settings: an optional label, Public link or Team only (for documents in a workspace), the expiry (1, 7, 30 or 90 days), whether recipients may download exports, whether to include a redacted copy of the PDF, and whether to show your name (your account name, not your email).
- Fields: choose per field whether it is shown in full, masked or hidden. DocSolved first scans the fields for sensitive data such as emails, phone numbers, bank accounts, tax and national IDs, dates of birth, names and addresses, and masks or hides the high-sensitivity values it finds. If the scan cannot run, every field starts hidden, and so does every field of a Custom extraction result.
- Review: check the summary and, for a redacted copy, the page-by-page preview. Drag on a page to black out extra areas. Confirm that you have reviewed what will be shared, then choose Create link.
- Done: copy the link, send it by email, or choose See what the recipient sees.
- Revoking. You can revoke a link at any time, but a copy someone has downloaded cannot be recalled.
- Redacted copy (safe copy, Beta). Every value that is not shared in full is blacked out, and QR codes and barcodes always are. Before the link is created, DocSolved reads the copy back and checks it; if a hidden value is still readable, no link is created. Only fields DocSolved captured are covered; sensitive text elsewhere on the page (footers, stamps, free text) may remain visible, so review the preview before sharing. If the check fails, nothing is shared; you can cover the marked areas, hide the field, check again, or create the link without the redacted PDF. A redacted copy needs the original file to be stored with the document, and a detected location on the page for every field you mask or hide; a field without one must stay shown in full, or the redacted copy cannot be made.
- Team-only links open only for signed-in members of the workspace, with no public token.
- Several documents: select up to 40 rows in Documents and choose Share for one link with their values (masked by default; file names and summaries stay off the link). A redacted PDF is only available when sharing a single document.
- Managing links: the document lists its links as Active, Revoked or Expired, with views and Revoke. The link itself is shown only when you create it, so Open and Copy link work only in the same browser tab.
Field filtering happens on the server when the link is created: the link holds only the fields you chose, and recipients are served from that snapshot.
A link shows a snapshot of the document as it was when you created it. If you correct a value afterwards, existing links do not change: they keep showing the earlier version, and the link in your list tells you the document has changed. To share the corrected version, revoke the link and create a new one. A link created after a correction shows the corrected values; if it includes the summary, a note beside it says the sentence was written before the correction.
What's New & changelog
What's New in the navigation lists product changes you can use, newest first. It shows published updates that are relevant to your account (for example your plan, workspace role or region) and available in the version of DocSolved you are using. A dot marks updates you have not seen yet; an update counts as seen once it has been shown to you, and Mark all as read clears them all.
- Each update has a category (New, Improved, Fixed, Action required, Deprecated or Known issue), a date, and sometimes a button that takes you to the feature. An update that has been materially changed shows Updated with the date.
- Show earlier updates and changes lists everything announced to you, with its status today, for example Available, Not available now or Withdrawn.
- If nothing is listed, you see You're up to date, with a See the full changelog link to the public changelog. An empty list is normal: not every change to DocSolved gets an announcement.
The changelog is public. It starts with Highlights, then Complete release history, grouped by month, newest first. Release notes from before 13 October 2026 are kept as written and marked Archived; they describe what changed then, not what is available today.
Email intake & approval automation
DocSolved can accept attachments forwarded by Postmark, Mailgun, SendGrid, Amazon SES, Make, n8n, or another adapter. DocSolved does not host a mailbox or parse provider-specific email payloads itself: the provider receives the message, filters spam, extracts the attachments, and sends them to DocSolved's email-ingestion API.
- Create an API key with the
extractscope (addhistoryif you also want to read saved documents) in Developer Settings. - Configure the email provider or automation flow with a stable message ID and a stable provider/account namespace.
- Optionally include a workspace so attachments enter that workspace's review and approval queue.
- Review uncertain fields, complete the review, and let an authorized approver approve the document.
- Use the signed
document.approvedwebhook (notdocument.completed) to start an accounting write or export.
Webhook delivery is durable and retried automatically. If a durable event cannot be queued after repeated attempts, it appears under Developer Settings β Events needing attention, where you can replay it after fixing the cause.
For multipart fields, response examples, signature verification, and Make/n8n setup, see the API documentation.
Tips for the best results
- Upload the original PDF when you have one. Text-based PDFs read more accurately than photos.
- Upload the XML of an e-invoice when you have it: its values are exact.
- For photos/scans: good lighting, the whole page in frame, minimal skew
- Pick the type/region if you already know it. It removes guesswork.
- With Show evidence details on, a field can show a confidence chip: green ones are the least likely to need a look; amber and red ones deserve one. Confidence is a triage signal, not a verification.
- Split long PDFs into their real documents when you upload them, so each one gets its own pages (up to 5 per document) and its own result.
- Use a custom type for recurring in-house documents to get consistent, named fields every time
Pages & allowance
DocSolved meters usage in pages: analyzing one page of a document uses one page of your allowance. Every new account starts with 100 free pages, a one-time starter allowance with no expiry. On a paid plan, each billing cycle tops your balance back up to the plan's monthly allowance; what is left is kept, and the allowance is not added on top.
- Every page that is analyzed counts once, at the same rate for web upload, batch, email ingestion and API. A failed analysis is not charged, and a page is not charged when the AI was unavailable or nothing could be read (within a monthly limit). Re-analyzing a saved document charges its pages again; correcting a field is free. Provider retries do not charge a completed attachment twice.
- Pages left unanalyzed after a split are not charged, and nothing is charged for files that were not uploaded.
- An AI sensitivity scan when sharing, when one is needed, costs one page per document (shown before you trigger it).
- Viewing, exports, Scan to PDF, dashboards, and sharing without an AI scan are free.
- When your remaining balance cannot cover a document, or reaches zero, the analysis is refused and you see an upgrade prompt. Nothing is deleted. Your saved results stay until you remove them.
Account settings shows your plan, remaining pages, storage use and a Usage & pages table of what was charged. Plans and prices are on the pricing page.

FAQ
Does it work without the AI?
Yes. If the AI provider is unavailable, DocSolved falls back to pattern-matching and flags the result so you know. You'll still get fields to review.
Can I force a document type or region?
Yes, in Automatic mode: choose the type and region before analyzing; otherwise DocSolved detects both. The type list offers the financial document types; others are detected automatically. You can also change the type of a saved document afterwards with Change document type.
Why are some fields empty?
An empty or Not found field means it wasn't found on the page (it may genuinely be absent). If the AI was unavailable, only what the built-in rules found is listed, so a table such as line items can be missing; you can add rows yourself. Exports leave out empty fields. For general documents, only found fields appear.
Did DocSolved change my values?
Before you see a result, DocSolved standardizes values that have a single possible reading (for example a printed date into YYYY-MM-DD; the text as printed is kept alongside) and may fill an empty field from the page text; these values are marked with how they were found. Where switched on, it also applies corrections that were checked against the page: each is labeled on the document and in its review history, and you can undo it until the document is changed again or the review is completed. DocSolved does not change a value to make totals add up.
What is the difference between extracted, reviewed and approved?
Extracted values are what DocSolved read. A reviewed document is one a person has checked and completed. An approved document has also been signed off by a workspace admin, where the workspace requires approval. Exports contain the current values; a share link shows the values as they were when it was created. In your own private documents you approve your own review.
What happens to my documents?
Saved results are stored per user and kept until you delete them. There is no time-based automatic deletion. You can delete any result, or all of them, at any time. Shared links can be revoked.
Your plan's document and storage limits are the practical ceiling: when you reach one, saving is blocked until you upgrade or delete. Export anything you need to keep for statutory retention to your own system of record. DocSolved is not an archive.
Can DocSolved receive documents by email?
Yes, through a configured inbound-email provider or automation tool. The provider extracts accepted attachments and sends them to DocSolved; DocSolved handles validation, duplicate-safe job creation, extraction, review routing, and webhooks.
